Payroll Manager

The job

As our Payroll Manager you will ensure an efficient, timely and correct payroll delivery according to the applicable regulations, as well as an accurate reporting by managing and optimizing the payroll processes, activities and systems. You will report directly to the Director-General Finances and Support.  The job comprises, but is not limited to, the following aspects:

  • You ensure wage calculation is prepared and performed, together with the team and the social secretariat. That means among other things that you will:
    • be responsible for the timely and correct payment of wages, holiday pay, end-of-year bonuses, bonuses and various compensations, social security and pension contributions in close collaboration with the social secretariat;
    • ensure the financial month/year is closed efficiently in close collaboration with the social secretariat;
    • ensure payroll administration is performed correctly: staff entering and leaving service, changes in salary, changes in personal data, sick leaves, absences, etc.;
    • ensuring the personal data in the database are correct, in collaboration with Human Resources;
    • supervising the timely delivery of social and fiscal documents;
    • providing explanation regarding wages and salary slips at the specific request of staff and trade unions;
    • closely following up the correct application of social legislation as well as in-company rules and procedures and adjust where necessary;
    • keeping informed of the collective labour agreements concluded within the company and ensuring they are translated into the salary calculations;
    • maintaining contacts with a number of external partners such as the government, the social secretariat, and other HR service providers;
    • managing the information flows between payroll, accountancy and Human Resources.
  • You make sure the payroll processes, activities and systems are running smoothly by:
    • developing and improving new and existing payroll processes so as to ensure a more optimal payroll administration management;
    • implementing and optimizing payroll systems, taking into account the data and reporting requirements of the in-company customers;
    • keeping informed of the relevant collective labour agreements and ensuring legislation and regulations are translated into the organisation.
  • You are responsible for payroll reporting such as:
    • providing the necessary reports regarding staff costs, presences and absences, prognoses, simulations, etc.;
    • creating and maintaining ad hoc and standard KPI reporting solutions and ensuring they reach Performance & Controlling and Human Resources.
  • You manage the team. That means among other things that you will:
    • organize and plan the allocation of responsibilities and tasks and make sure they are carried out properly;
    • stimulate individual motivation as well as teamwork;
    • ensure the staff's professional development and evaluate their training needs.


Your profile
  • you have +/- 10 years' relevant experience as a Payroll Manager;
  • you have experience in wage calculations of contractual and statutory staff;
  • you hold a Master's  or a Bachelor's degree, preferably in economics or finance;
  • you have solid knowledge of social and tax legislation and payroll processes hold no secrets for you;
  • you have extensive knowledge of useful IT payroll applications, preferably Easypay, and reporting tools (BI and BA) but also Excel;
  • you are bilingual Dutch/French;
  • you are able to retain an overview in a complex professional organization and you are driven to bring simplification and clarity into your area of expertise;
  • you have good analytical skills;
  • you respect deadlines and you work accurately and in complete confidentiality;
  • you can be persuasive in motivating staff.
